Privacy Policy
How FITVOX GLOBAL FZC LLC handles the data behind a gym or coaching account, including health and fitness information from PAR-Q answers, body measurements and uploaded photos.

Who We Are
FITVOX is operated by FITVOX GLOBAL FZC LLC, a free-zone company registered in the United Arab Emirates. This policy covers the website at fitvox.app and the FITVOX mobile apps. Much of the data in FITVOX is put there by the gym or trainer you train with; they decide what to record about you, and we hold and protect it on their behalf.
What We Collect
Account details such as name, email address, phone number, gender, date of birth, address and any profile photo; the training record built up over time, including workout and nutrition plans, session and facility bookings, attendance and progress; files you or your trainer upload, such as progress photos and the signature on an agreement; billing records such as packages bought, amounts, receipts and invoices; if you are a gym or a freelance trainer, the payout bank details you enter, including the account holder name, bank name and the account, IBAN, sort code or routing identifiers your country uses; and basic technical data such as device and log information needed to run the apps and keep them secure.
Health and Fitness Information
To be plain about it: FITVOX holds health and fitness information about trainees. That includes the answers given in PAR-Q screening questionnaires, which can mention injuries, medical conditions and medication, along with body measurements, weight and progress photos. This is sensitive data. It is collected so a trainer can screen you safely and coach you properly, it is used for that purpose, including drafting plans through the AI provider described in sections 4 and 5, and it is not sold, rented or used for advertising.
How We Use It
We use this information to run your account, let trainers manage clients and assign workout and nutrition plans, handle session and facility bookings, carry out PAR-Q screening, track progress, process package purchases and produce receipts and agreements, send email, in-app and push notifications about bookings, plans, agreements and payments, answer support requests, and keep the platform secure and working. Where your trainer uses the AI plan builder, we send a summary of your profile — your age and gender, your latest body-composition figures and your PAR-Q answers — to the third-party AI provider configured for the platform so it can draft a plan, which your trainer then reviews and edits before you see it.
Who Can See Your Data
A trainee's record is visible to the trainer assigned to them and, where the trainer works for a gym, to that gym's owner and the staff they authorise. A small number of authorised FITVOX staff can also access accounts and records across the platform in order to provide support, investigate faults and process account-deletion requests. We also use service providers to run the platform, including hosting, email, push notification, payment and AI model providers, who may only process data on our instructions. We share data otherwise only where the law requires it. We do not sell personal data.
Payments
Card payments are processed by Stripe. Card details are entered with Stripe and FITVOX does not store full card numbers. What we keep is the record of the transaction, such as the package, amount, currency, status and receipt. Stripe handles the card data under its own terms and privacy policy.
How Long We Keep It
We keep your information while your account is active and while your gym or trainer needs it to provide the service. When a deletion request is approved your account is closed: you can no longer sign in, and your record is removed from your gym's and trainer's active lists. The underlying data, including agreements, receipts and training history, is retained because the financial and contractual records we are required to keep refer to it. If you want the residual data erased, contact us and we will tell you what we can remove and what we are obliged to hold.
Your Choices
You can view and correct much of your profile inside the app, ask your gym or trainer to correct a training record they entered, turn push notifications off in your device settings, and email us at info@fitvox.app to ask for a copy of the data we hold about you or for it to be deleted. To close an account, use the Delete Account page. Deletion is a request: a FITVOX administrator reviews it, may ask for more information before approving it, and once approved you can no longer sign in to the account. What happens to the records behind it is described in section 7.
Children and Minors
FITVOX is not intended for children to sign up on their own. Where a gym or trainer coaches someone under 18, the account must be set up and supervised by a parent or guardian who consents to the health information being recorded. If you believe a child's data has been added without that consent, contact us and we will remove it.
Security, Changes and Contact
We use administrative and technical safeguards such as encrypted connections, access controls and role-based permissions, though no online service can be completely secure. FITVOX is operated from the United Arab Emirates, and some of the providers we rely on — including our payment, push notification and AI model providers — process data outside the UAE; where that happens we require them by contract to protect it to the standard described in this policy. When this policy changes we publish the new version here and update the date at the top. This policy is governed by the laws of the United Arab Emirates. To reach FITVOX GLOBAL FZC LLC about your data, email info@fitvox.app.
